How to offer clients appointment options without opening your calendar
Updated 2026-10-18. Written with Betty, Pawdmin’s co-founder and a home-based groomer.
Short answer: Hold two or three times you actually want to groom in, send them to the client with the estimate attached, let them pick one, and let the other options release automatically. It is the paper-calendar habit of writing a name in pencil, turned into a system. Clients get a quick decision, you keep control of who comes in and when, and no-shows fall because the client chose a time next to a price.
Betty ran her paper calendar this way for years and Pawdmin was built around it. The steps below are the method; the scripts are the messages.
-
1
Decide that your calendar is yours
Open online booking shows every gap you have and lets anyone take it. For a salon with a front desk that is efficiency. For one groomer it means the 3pm slot you were saving for a difficult dog goes to a stranger with a matted doodle. The alternative is not phone tag. It is offering a short list of times you chose.
-
2
Hold two or three times, not one
One option invites a counter-offer. Four invites dithering. Two or three, spread across different days or times of day, gets a quick yes. Pick them around the dog: a reactive dog early in the day, a long groom when you have the afternoon clear. Pawdmin pencils all of them in on your calendar as held, not confirmed.
-
3
Send them with the estimate attached
The message carries the dog's name, the approved estimate, and the options. The client picks one in the portal, or replies with the number. A time chosen next to a price is a commitment, which is why this method cuts no-shows as well as admin.
-
4
Let the other options release themselves
When the client picks, the chosen time becomes confirmed and the other penciled-in options release automatically, so you are never double-holding. If a second client wanted one of those times, you offer it to them next. Pawdmin marks the leftovers as not chosen or taken for you.
-
5
Put an expiry on the offer
Held times are worth money. Say in the message that the options are held for 48 hours; after that, offer them to the next client. Pawdmin expires unanswered penciled-in options so your calendar does not fill with ghosts.
-
6
Use the same method to book the whole year
For a regular client, offer a cadence (every six weeks, Tuesdays, mornings) and let the system lay out the year with options at each date. The client approves the set, and every appointment carries the estimate and the reminders. Pawdmin's scheduling can generate those recurring options while respecting dog compatibility and your time restrictions.
The messages
Offering options to an existing client
“Hi Sarah, Milo is due. His full groom estimate is $135. I can do Tue 4 Mar at 9:00, Thu 6 Mar at 1:00, or Mon 10 Mar at 9:00. Pick one in your portal or reply 1, 2 or 3. I will hold them until Friday.”
Offering options to a new client after the application
“Hi Dana, thank you for the photos and the chat. Luna's first groom estimate is $190, and I have set it up as an evaluation visit. I can offer Wed 12 Mar at 9:00 or Fri 14 Mar at 9:00. Approve the estimate and pick a time in the portal, and I will confirm it the same day.”
When none of the options work
“No problem. Tell me the days and times that usually work for you and whether mornings or afternoons are better for Milo, and I will send two more options tomorrow.”
Questions people ask
Won't clients prefer to book themselves online?
Clients prefer certainty and a quick answer. Two or three good options with the price attached is faster for them than hunting through a booking page, and it keeps the decision about who comes into your home with you. The clients who insist on grabbing any open slot without a conversation are the ones most likely not to show.
What if two clients want the same time?
The first to choose gets it; the time is then marked taken for the other, who receives new options. Because the options were penciled in rather than confirmed, nothing was promised twice.
How many options should I offer?
Two or three. Spread them across different days or times of day so the client is choosing between real alternatives, not three versions of the same morning.
Can clients still request appointments themselves?
Yes. In Pawdmin a client can request an appointment or a rebook from the portal and, if you turn on self-scheduling, generate options that come to you for approval, or, if you choose, are auto-approved. The calendar itself is never shown to clients.
Does any grooming software support penciled-in options?
Pawdmin does, as its core scheduling flow: multiple held times per appointment, client picks one, the rest release. Most grooming software offers either open online booking or a single assigned time.
